We deliver conservation projects, environmental education, and community initiatives that help ensure the Saugeen Bruce Peninsula remains a healthy and vibrant place for generations to come.
Position Overview
As our Office Manager, you will oversee the day-to-day financial, operational and administrative functions of our organization. As a key team member, you will maintain an overall view of the Association’s long term and annual goals, obstacles in achieving them, and results
Your strengths in proactive problem-solving and attention to detail, and highly organized nature will support our environmental specialists and volunteers in their efforts to protect the environment. Your demonstrated skills in fundraising, community engagement and people management will enable you to enable the community, volunteers, funders and staff to build community commitment to conservation and secure the resources we need to sustain and expand our environmental initiatives.
Key Responsibilities
Financial Management
Together with our Finance Manager you will help us manage our finances, so we use our resources prudently to exceed our donors’ and funders’ expectations for tangible improvements in the environment.
- Budget Planning and Management You will work with the Project Manager and Board Leads and Finance Manager to articulate the Association’s goals and develop and manage the annual mid-six-figure budget required to achieve them.
- Project Allocation: As most of our work is funded on a project basis, you will work with the Project Manager and Board Leads to ensure all related costs and payroll expenses are properly allocated to identified projects in line with funding amounts and the funders’ eligible expenses. You will ensure proper documentation to claim “holdbacks” from funders in line with contracted timelines.
- Reporting You will assist the Finance Manager to prepare regular reports for the Board of Directors and funding partners and work with Program Manager and Board Leads to track and evaluate program metrics and impact data.
Fundraising
You will help identify, market and organize fundraising events and campaigns including EcoAdventures to fund the important environmental work we do
- Grants: You will work with the Project Lead and Program Manager to contribute to grant applications, proposals, and reports to funders.

Donations, Fundraising Events and Membership: You will support the Fundraising Committee to raise about $20,000 annually by
- Assisting with donor stewardship and communications
- Identifying and organizing new fundraising opportunities, campaigns, and membership drives
- Maintaining donor, membership and sponsor databases using NationBuilder to track contributions and engagement with the Association.
Website Management
Working with our Board Communications Committee, you will maintain an up-to-date website and functioning payment software that educates, persuades and enables the public to easily engage with our work by
- Managing basic technical functions of website and related payment software (NationBuilder, Fare Harbor, Square etc).
- Working with a contractor to manage upgrades, conduct user training, resolve technical problems and integrate systems
- Ensuring backup of systems, creation of training manuals, and administration of centralized password management.
Community Engagement
Working with the Board’s Communications Committee, you will creatively develop public outreach that inspires volunteers and student staff to join us and motivates them, so they want to stay involved year after year, by:
- Serving as the first point of contact for members, partners, and the public by responding to phone, email, and in-person inquiries promptly and professionally
- Supporting volunteer involvement in projects and fundraising through volunteer recruitment, managing event logistics and recognition activities.
General Administration, Legal, Insurance & Compliance
To maintain confidence in the Association and efficient management of resources you as Office Manager will
- Maintain organized records, files, and databases
- Manage office supplies, a list of assets, equipment maintenance, and vendor relationships
- Maintain up-to-date insurance policies and coverage documentation
- Support contract management as needed, working with the Scientific Advisor and Project Manager
- Ensure adherence to legal requirements and organizational policies
Staffing & HR Support
Working with the Program Manager and Board Leads, you will attract and retain people needed to deliver on our commitments and reach our goals by
- Assisting in recruiting, onboarding, and supporting staff, especially summer students
- Maintaining employee records and track vacation/sick time
- Coordinating staff schedules and training sessions.
Qualifications
- Post-secondary degree in Business, Environmental or Related Field or equivalent experience
- Proven experience in office management, (non-profit experience in a volunteer-driven organization would be an asset)
- Proficiency with website software, NationBuilder or other CRM software and Microsoft Office Suite
- Strong organizational skills with attention to detail and accuracy
- Excellent communication and interpersonal skills
- Experience in fundraising, donor relations, or grant administration would be an asset
- Ability to manage multiple priorities at once
- Knowledge of non-profit governance, insurance, and HR practices would be an asset
